Terms & Conditions

AFRICA KEYS is hereafter referred to as “AK” with a registered office in Nairobi, Kenya. (East Africa)

All services are supplied by AK and other suppliers who are independent entities and defined as suppliers. AK cannot accept any liability for services or arrangements for any loss or damage incurred as a result of the acts and or defaults of any suppliers or third party.

When AK has accepted your booking, the date of the confirmation invoice activates the terms and conditions of the contract. Confirmation of services is subject to payment of a refundable deposit of 50% of the total invoiced amount, except for bookings at some properties (this will be mentioned in the invoice) where the deposit is non-refundable. The balance is to be paid not later than 45 days prior to commencement of the services. When bookings are made within 45 days prior to the departure date, full payment is required immediately on written confirmation.

If payments are not received within the above time frame, AK reserves the right to cancel the tour which has been booked and retain any deposit received to set against expenses incurred in the booking of such a tour. All bookings are subject to availability at the time of booking and cannot be guaranteed.

Prices are quoted in US dollars. All prices are subject to change without prior notice. Should prices or costs from suppliers increase due to inflation, currency depreciation and fuel surcharges, AK will not have any other option than to pass on the same to you. All suppliers reserve the right to increase prices at any time of the year when costs increase outside the control of the supplier. Please note that when the clients\’ itinerary overlaps two seasons, the price will be prorated over the two seasons.

Child rate is only applicable to one or two children under 12 years sharing a room with 2 adults. In the case of 02 children sharing a room with parents, the two children will share a bed as most hotels/lodges cannot accommodate a fourth bed. 01 child sharing a room with 01 adult will be charged full adult rate. 02 children sharing their own room will be charged 75% of adult room rate.

Our safari costs are based on double occupancy. However, we try to accommodate single travelers who request single accommodations, as well as single travelers who are looking for a roommate. If a single room is requested, or we are unable to find a suitable roommate, you will need to pay the single supplement. Single accommodations are not available on all safaris. Each group allows a limited number of single-room allotments.

Deposits are due at the time of reservation. The deposit amount is $500 per person. An additional deposit of $150 per person is required for each extension taken. Deposit amounts will vary for custom-designed journeys.

Deposit to confirm – US$ 750 per gorilla permit Cancellation outside 60 days prior trekking – loss of 50% of deposit. Cancellation less than 60 days prior trekking – loss of 100% of deposit.

If you wish to cancel your holiday you must notify the Company in writing as soon as possible. Your notice of cancellation is only effective when it is received in writing. In such case the following cancellation charges will be payable:

Less than 60 days 25%
Less than 30 day is 50%
Less than 15 days is 100%

Full refund except bank charges and non-refundable deposits (if any) at the hotels Although it rarely happens, and AK will do their utmost to avoid doing so, AK must reserve the right to cancel tours and other arrangements. Where your holiday is cancelled (other than due to your default in payment) due to unavoidable circumstances beyond our control e.g. over bookings, AK will offer you the choice of purchasing an alternative holiday (and paying or receiving a refund in respect of any price difference) or receiving a full and immediate refund of all monies paid to them.

Some safaris may incur additional cancellation fees (especially gorilla safaris). There will be no refund for any unused portions of a safari once it has commenced. Cancellation penalties on airfares and gorilla permits are additional and may not be included in the above cancellation charges. insurance for the total land tour cost is strongly recommended (from your country of origin).

In certain camps, lodges, hotels and beach resorts and on specific activities, minimum age limits can apply. The age limit for Gorilla Safaris is 15 years of age.

In the unlikely event of flight delays the airlines concerned are not to be held liable for any act, omission or event during the time the passengers are not on board their aircraft or conveyance.
Flight delays are not considered as alterations to the program and as a consequence any compensation applied for from the company is not applicable. In the event of a scheduled flight delay, cancellation or over booking, the company cannot be held liable for any costs incurred. Any denied boarding compensation if applicable should be sought from the airline concerned and not Africa Keys.
The company cannot guarantee that flight times detailed on the itinerary will not change at short notice. If in any event they do, AK will make every available effort to assist in obtaining a suitable alternative flight. Any additional cost of accommodation, or change in itinerary caused by a flight schedule change, will have to be borne by the client, and will be payable immediately, in order to confirm reservations.

Canceling your safari can be very costly, as we have to adhere to the cancellation fee schedule above. We highly recommend that you purchase a travel protection plan, which will protect you from penalties if you cancel for a covered reason. In addition, there is coverage for trip interruption, trip delay and protection for emergency evacuation, accident and sickness medical expense: Africa Keys is not responsible or liable for loss, damage or theft of personal luggage and belongings, or personal injury, accident or illness. If a safari is canceled by Africa Keys because of extraordinary conditions, all monies paid to Africa Keys will be refunded in full. Africa Keys cannot accept responsibility for any other expenses incurred for preparing for the safari, including non-refundable airline tickets, etc…

Age Limits

In certain camps, lodges, hotels and beach resorts and on specific activities, minimum age limits can apply. The age limit for Gorilla Safaris is 15 years of age.

Our Published Rates

Changes in rates are rare, and caused by extraordinary circumstances outside Africa Keys’ control. In case of the rare event that a cost should increase, cancellation is allowed without penalty. All prices are per person, based on double occupancy. All prices are subject to change.

Travel Documents/Vaccinations

Travelers must be in possession of valid passports and any visas, permits and certificates required for the whole of their safari and shall arrange such vaccinations as are normally recommended for the countries through which they intend to travel. Information as to these matters and as to climate, clothing, baggage, gear, and similar matters is given in good faith but without responsibility on the part of Africa Keys.

Force Majeure

The expression “force majeure” means any event which the supplier(s) in question could not have foreseen or avoided even with all due care. Such events may include war or threat of war, riots, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, government action and all similar circumstances outside the supplier\’s control. In these circumstances the suppliers shall not be liable to pay any compensation or otherwise be responsible for any expenses or losses you incur where supplier is forced as a result to cancel, delay, curtail or change your holiday arrangements in any way or where the performance or prompt performance of the supplier\’s contractual obligations is prevented or affected.


In the unlikely event that a tour member has a dispute whilst on safari this must immediately be brought to the attention (and put on record) of the local representative, Hotel, Lodge or Camp management. It is likely that the tour member\’s complaint will be satisfactorily resolved there and then. If, however, this is not the case and the tour member wishes to pursue the matter on their return from safari, it is essential the complaint be communicated in writing to AK within 21 days of the end of tour quoting tour reference, destination and departure date. AK regrets cannot accept responsibility of any complaints, which are not notified entirely in accordance to this clause. Responsibility of AK AK acts only as the Agent for the suppliers and shall not in any event be liable for any negligence, breach of contract or acts of omission on the part of suppliers, their employees or any other Agent, it shall be the responsibility of all customers including (without limitations) Tour members, Tour Operators and Travel Agents, to read and familiarize themselves with the terms and conditions of suppliers. AK’s liability for its own negligence or beach of contract shall be limited to the Tour price.

In consideration of the services and arrangements provided by Africa Keys, you, for yourself and for your heirs, personal representatives or assigns, do hereby release, waive, discharge, hold harmless and agree to indemnify Africa Keys, and its owners, officers, directors, agents, contractors, subcontractors and employees from any and all claims, actions, or losses for bodily injury, property damage, wrongful death, loss of services, lost profits, consequential, exemplary, indirect or punitive damages or otherwise which may arise out of or occur during your travel in connection with the scheduled travel package and any activities conducted in conjunction therewith.
